How to End a Meeting

Posted July 4th, 2016

You have just finished all of the agenda items for your meeting. The meeting went well, and you got a lot accomplished. Now it’s time to wrap things up. What is the best way to do this so that you carry that momentum from the meeting forward and turn it into action? Here are some things you should do.

1. Review
The first thing you should do to wrap things up is review what decisions were made at the meeting, what action needs to be taken, who will take it, when it will be done, and how they will let everyone else know about it.

This way, everyone should leave the meeting with the same understanding of what was decided and what needs to be done, so no one will bring the same issues up later, questioning what needs to be done about them.

2. Come up with talking points
People at the meeting should come up with the key points that were covered, so that what happened at the meeting can be conveyed to people who were not there. In other words, you want to write down the most important things that were achieved at the meeting. This way everyone is in agreement with what will be broadcast to others.

You should also, if need be, decide if anything at the meeting should not be communicated to people outside the meeting. Are there things that need to be confidential? You need to come to agreement on this as well.

3. Get feedback
The meeting wrap up should also give people the opportunity to express what they liked about the meeting and what they did not like.

You should ask participants what they think could be improved. And this should include everything about the meeting – any preparatory activities or reading that were required for the meeting, where the meeting was held, when it was held, even how the coffee and Danish were, all in addition to what was covered at the meeting and how it was covered.

Then also find out what they liked about the meeting, what they thought went well, what they would like to do again.
