Administrative Assistant - Back Office Operations
Direct Hire Full-Time Role
Pay Rate: $26 - $28 per hour
Location: Remote Role - CA PST
Job Summary:
We are seeking a detail-oriented Administrative Assistant to support daily back-office operations across administration, finance, consultant onboarding, benefits, client accounts, and asset management. This position will assist with AP/AR activities, budget audits, 1099 filings, data reconciliation, employment verifications, onboarding documentation, open enrollment, SOW administration, and company equipment tracking. The ideal candidate is highly organized, adaptable, and professional, with excellent communication, problem-solving, follow-up, and Microsoft Office skills.
Duties and Responsibilities:
- Administrative & Operations Support
- Provide administrative and clerical support for day-to-day operations.
- Work collaboratively with Back Office entities to solve issues and problems.
- Maintain records and documentation.
- Coordinate internal requests and follow-up.
- Finance & Accounting Support
- Assist AP (Accounts Payable) and AR (Accounts Receivable) administrative functions
- Assist with budget auditing.
- Support 1099, 1099-MISC, and 1099-NEC preparation and filing.
- Perform data entry and reconciliation activities.
- Staffing & Consultant Operations
- Coordinate consultant onboarding.
- Assist with the Verification of Employment (VOE) process.
- Coordinate access and equipment provisioning.
- Maintain onboarding documentation.
- Benefits & HR Administration
- Assist with annual Open Enrollment planning and implementation, including enrollment review.
- Client & Account Support
- Support Strategic Accounts and provide status updates and client notifications.
- Assist with Statements of Work (SOW) preparation and management.
- Asset Management
- Track company equipment.
- Maintain asset records.
- Coordinate equipment deployment/return.
- Ensure required asset documentation is completed and retained.
Requirements and Qualifications:
- High School Diploma or Associate Degree
- Ability to effectively interact with all levels of personnel in the organization.
- Maintain a high level of professionalism and sensitivity in handling confidential matters.
- Detail-oriented with strong organizational skills.
- Proficiency with the Microsoft suite of products, including Excel, Word, Outlook, and PowerPoint.
- Must have excellent written and verbal communication skills (including excellent phone and email etiquette), follow-up, and problem-solving skills.
- Adaptable with the ability to adjust, manage, and prioritize tasks in a fast-paced environment.
- Strong work ethic and sense of accountability with good follow-up.
Preferred Qualifications:
- General finance knowledge.
- Experience and knowledge of basic administrative functions.
- General math skills.
- Data entry skills.
- Reporting skills.
- 1-2 years of minimum customer service and administrative experience.
- Familiarity with ADP software.
- Experience with Intacct Software.
- Experience with Applicant Tracking Systems (ATS) and Customer Relationship Management (CRM) software
